Why quoted prices vary by 10x or more
Three things drive most of the spread: integration difficulty (a system with a documented API is a different job than one that needs a custom interface to something that doesn't have one), compliance and reliability requirements (SSO, audit logs, private hosting and industry-specific controls all add real scope), and who's doing the work (a solo freelancer, a small shop and an enterprise dev agency price the same build very differently, mostly on overhead rather than on the work itself).
The model you use matters less than vendors imply — building on an existing API like GPT-4o or Claude is meaningfully cheaper than fine-tuning or hosting a proprietary model, and most business automation doesn't need the latter.
Hourly and freelance rates
Published freelance-marketplace rates for AI automation and agent work generally run $20–50/hr, with more senior or specialized work toward the top of that band. Fixed project quotes on freelance platforms for a single scoped workflow commonly land in the low thousands.
Project-based builds
A single automated workflow — intake, triage, drafting, routing — is typically quoted anywhere from roughly $2,500 to $15,000 depending on complexity and the provider's overhead. Multi-step agent systems with several integrations tend to run $15,000–$50,000. Enterprise, multi-agent platforms with heavy compliance requirements can run past $100,000 — that tier is a different kind of project, usually for a different kind of buyer.
Ongoing support
Once something's live, published retainer pricing for monitoring and maintenance ranges enormously — from a few hundred dollars a month for a single workflow to five figures a month for agencies managing a full automation program. Ask exactly what the retainer includes (monitoring, fixes when upstream systems change, new requests) before comparing two numbers, since 'ongoing support' means very different things at different price points.
What to actually compare
The headline number tells you less than what's inside it. Two quotes for 'the same' workflow can differ by 5x because one includes discovery, testing against your real data, documentation and a maintenance window, and the other includes none of that. Ask for the breakdown, not just the total — and weigh it against what you found asking the questions in how to hire an AI automation freelancer or agency.
